Welcome to ClientPact. Your privacy matters to us. This Privacy Policy explains how ClientPact collects, uses, stores, and protects your information when you use our website, application, and related services.

By using ClientPact, you agree to the collection and use of information described in this Privacy Policy.

1. Who we are

ClientPact is a SaaS platform that helps freelancers, agencies, and service providers create and manage proposals and deals, share public client links for acceptance, show deposit and payment details, and track deal status in one workspace.

In the current MVP, ClientPact focuses on proposal and deal workflows. Integrated payment gateways, legal e-signatures, and full CRM features are not offered yet; we may add capabilities over time as described on our website.

2. Information we collect

We may collect account information when you register or sign in, such as your name, email address, authentication data, profile details, workspace or business name, and role or company information you choose to provide.

When you use ClientPact, you may create or upload workspace content, including proposal and deal titles, descriptions, line items, pricing, timelines, client names and contact details, payment or deposit instructions shown in proposals, uploaded logos or brand assets, notes, and deal-related messages or status updates.

You are responsible for ensuring that you have permission to upload or process any client information you enter into ClientPact and for what you share via public proposal links.

If you subscribe to a paid plan, we or our payment providers may collect billing-related information such as billing name, billing email, billing address, subscription plan, payment status, and transaction history. The MVP does not include an integrated payment gateway for your clients’ deal payments; subscription billing may be processed by third-party providers such as Stripe or Paddle when available. We do not store full credit card numbers on our own servers.

We may also collect usage and technical data, including IP address, browser and device information, operating system, pages visited, features used, referring URLs, error logs, and cookies or similar technologies to improve performance, security, product experience, and support.

3. How we use your information

We use your information to create and manage your account, provide ClientPact features, save and display your proposals and deals, operate public client links, send product and security notices, provide support, improve quality and user experience, prevent fraud and unauthorized access, analyze usage trends, process subscriptions when applicable, and comply with legal obligations.

We do not sell your personal data.

4. AI-generated content

ClientPact may offer AI-powered features in the future to help generate or improve proposal content, summaries, scopes, or related business text. AI features are not guaranteed in every plan or release.

If you use AI features when available, information you provide may be processed to generate outputs. Avoid entering sensitive personal data, confidential secrets, passwords, private keys, or information you do not have permission to use.

AI-generated content may be inaccurate, incomplete, or unsuitable for your situation. You are responsible for reviewing, editing, and approving any content before sending it to clients.

5. How we share information

We may share information with trusted service providers who help us operate ClientPact, such as hosting, database and storage, authentication, payment processors for subscriptions, email delivery, analytics, customer support tools, and AI providers if AI features are used. These providers may only access information as needed to perform services for us.

We may also disclose information if required to comply with applicable laws, respond to legal requests, protect our rights and users, prevent fraud or security threats, or complete a merger, acquisition, or business transfer.

6. Cookies and tracking technologies

ClientPact may use cookies and similar technologies to keep you signed in, remember preferences, improve performance, understand how users interact with the product, and support analytics.

You can control cookies through your browser settings. Some features may not work properly if cookies are disabled.

We use PostHog product analytics to understand how users interact with ClientPact, such as completing onboarding, creating or sending proposals, and moving through deal workflow steps. Analytics helps us understand product funnels, improve the user experience, and improve stability.

The current analytics configuration is intended to avoid intentionally sending proposal content, bank account information, payment QR codes, client identifying information, message content, sensitive payment data, or specific transaction values to PostHog. Session Replay is not enabled in the current version.

7. Data storage and security

We use reasonable technical and organizational measures appropriate for our stage to protect your information from unauthorized access, loss, misuse, alteration, or disclosure. However, no online service is completely secure. You are responsible for keeping your login credentials safe and notifying us at quandmk1@gmail.com if you suspect unauthorized access to your account.

8. Data retention

We keep your information for as long as necessary to provide the service, maintain your account, comply with legal obligations, resolve disputes, enforce agreements, and improve security and fraud prevention.

You may request deletion of your account and related data by contacting us at quandmk1@gmail.com. Some data may be retained if required by law, backup systems, fraud prevention, accounting, or legitimate business purposes.

9. Your rights

Depending on your location, you may have rights to access, correct, delete, or receive a copy of your personal data, withdraw consent where applicable, object to certain processing, or restrict certain uses. To exercise these rights, contact us at quandmk1@gmail.com.

If ClientPact serves users in Vietnam, personal data handling should be transparent, consent-based where required, and aligned with applicable personal data protection rules, including frameworks that may apply to consumer and personal data protection in Vietnam.

10. International data transfers

ClientPact may use service providers located in different countries. This means your information may be transferred, stored, or processed outside your country of residence.

Where required, we will take appropriate steps to protect your data according to applicable law.

11. Children's privacy

ClientPact is not intended for children under the age of 13, or the minimum age required by applicable law. We do not knowingly collect personal information from children.

12. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the “Last updated” date above.

For significant changes, we may notify you by email, in-app notice, or another reasonable method. Continued use of ClientPact after an update means you accept the revised policy.
